Q1: Are my documents safe?

A1: If you have installed and enabled the Toshiba Scrambler Board/built-in Advanced Encryption Standard and/or the Data Overwrite Kit for the life of the product, your documents are safe. If you have not enabled these features, there is a possibility that stored documents can be retrieved by an individual with access to the machine.
For customers who have concerns about their data, we recommend that they contact their local authorized Toshiba distributor/dealer to discuss the various options available.

Q2: Are Toshiba MFPs/copiers safe?

A2: Toshiba Multifunction Printers/Copiers offer some of the most advanced security features in the industry. Specific security features are dependant upon the model number, year introduced, and security features selected to be installed/enabled by the user: Since 2004, Toshiba has offered hard disk drive encryption as a product option for purchase on machines that contain a hard disk drive. Since July of 2006, all new Toshiba-manufactured models with a hard disk drive come standard with hard disk drive encryption. Hard disk drive encryption makes it virtually impossible to read documents that are scanned to e-file or to the hard disk drive. Documents that are printed, copied or faxed are compressed into a non-standard format that makes them virtually unreadable by anyone who may be hacking into the device. Toshiba also offers an optional Data Overwrite Kit which overwrites and deletes data after job processing.

Q3: What do I do if I am concerned about my MFP/copier security?

A3: Check with the IT manager in charge of any specific MFP/copier you are concerned about to determine what, if any, security features have been enabled on that specific machine. Q4: What can I do to make my MFP/copier more secure?

A4: There are several things people can do to make their Toshiba manufactured MFP/copier more secure:

a. If you are purchasing a new MFP/copier, ask to have your Standard Encryption package enabled before beginning use. This will encrypt documents scanned into the hard disk drive and render them unreadable in the event the hard disk drive is hacked into.
b. If you are looking to secure an existing MFP/copier that has been in use for some time, you may want to consider a Data Overwrite Kit that wipes the hard disk drive clean of existing documents, leaving nothing for hackers to retrieve.
c. If you are at the end of your lease on your MFP/copier, you can request to have the hard disk drive formatted to delete any data stored. Please note that formatting may not ensure that any data cannot be retrieved. Additional measures can be discussed with a Toshiba sales representative or Toshiba authorised distributor/dealer.

Q5: If encryption is a standard feature (on Toshiba-manufactured models since July 2006) then why doesn’t it come enabled?

A5: The level of required security is the decision of the user/lessee. Some customers are comfortable with wiping the hard disk drive clean at the end of its use and do not feel the need for encryption.

Q6: How much will it cost for me to ensure my copier/MFP is secure?

A6: A Toshiba sales representative can provide you with a price quote specific to your MFP/copier model and security needs.

Q7: Can I just erase all the files from the hard disk drive myself before returning it?

A7: Only Toshiba factory-trained technicians have the tools and knowledge required to erase/format the MFP/copier hard disk drive without potentially damaging the machine, voiding the warranty or breaching the terms of your service agreement. We therefore recommend that customers do not try to erase/format their MFP/copier hard disk drives themselves.

Q8: What happens to the information saved on a MFP/copier hard disk drive once that MFP/copier is returned to the leasing company or disposed of?

A8: At the end of a lease, used MFPs/copiers are returned to the leasing company (not Toshiba). We cannot confirm whether any data remained accessible on the hard disk drive, or whether or not information was erased. It is the customer decision to have those information removed by a professional or leave the information on the hard disk drive or render the hard disk drive unusable, which may invalidate some leases.

Q9: Is Toshiba responsible for the security of my MFP/copier?

A9: Toshiba, like other MFP/copier manufacturers, does offer a wide variety of security-enhancing features that are available to customers as either standard features or options. Similar to a computer or mobile phone, the level of MFP/copier security enabled is ultimately the decision of the owner/operator, based on need.

Q10: Why does everyone not have their copier hard disk drive wiped clean before replacing it?

A10: While Toshiba always recommend customers to secure their MFPs/copiers, which is a personal decision that each MFP/copier owner must make, just like individual computer users disposing of an old or unneeded computer. However, there are at least two common factors that relate to perceived risk:

• MFP/Copier hard disk drive theft and hacking is NOT a common or simple crime. Many MFP/copier owners/users do not believe that there is a significant risk.
• Many companies do not regularly print or copy confidential files, or documents containing confidential/personal information. That is, they have a lower level of fear about having their MFP/copier hard disk drives hacked into.

Q11: Are Toshiba MFPs/copiers any more vulnerable to ID theft than other brands?

A11: ALL MFPs/copiers, regardless of brand, can retain sensitive information. They are points of vulnerability for criminals seeking personal information. Toshiba is no more vulnerable to criminal activity than any other brand.
