When you receive close to a quarter of a million documents a month, it is definitely vital to have a good document management system in place.
Every month, Thailand’s Bureau of Budget receives almost 100,000 copies of documents for budget analysis from each of the country’s 72 provinces. It was a slow and tedious process copying these documents from a stand-alone copier shared among the different departments within the bureau. Each department also had to deal with creating storage for the mounting paper load that had to be filed.
The purchase of the Toshiba e-STUDIO was hence a smart investment for not only does it speed up the copying process at 45 pages per minute, it also e-files the documents for easy storage and retrieval. To top it off, security and confidentiality are practically built in.
E-filing technology plays an important role in the organisation. According to Mrs Suwanthavorngul, the department used to have to print out the same cover sheet each time anyone needs to use it.
“But now with this technology, the same cover sheet can be saved in the MFP, and we just need a touch of a button to retrieve it. My colleagues and I are very impressed with this technology Toshiba has,” says Mrs Suwanthavorngul.

The staff can now save on paper usage by using its duplex print capability to print multiple layouts on one sheet of paper. The thousands of documents that have to be scanned and filed can now be saved in soft copy for easy storage and retrieval.

In our organization, we also have to scan several documents and file them in hard copies, which used up a lot of storage space. With the Toshiba MFP, we are able to scan the budget documents and keep them as soft files. This way it really cut down on a lot of our storage and we can neatly organize the scanned documents.
